Background  

FOLD Housing provides apartments and houses for older people and families. In addition, the Association provides supported housing with 24-hour care for frail and older people.

FOLD Housing enhances the quality of life for many people in the community by providing a unique combination of accommodation and associated service options. These include: Housing-with-Care for frail older people and people with dementia; sheltered housing; and general needs accommodation for families.

Fold Housing now wish to recruit a Human Resources Assistant with particular focus on administrative support within the department. This position is based in Fold Housing’s head office in Northwood Office Campus, Santry, Dublin 9.

 

Primary Responsibilities:

 Responsible for the administration and co-ordination of the human resource function and support the delivery of a professional and efficient HR service across the Association.

 

Recruitment

  • Assistant in the end to end recruitment and selection process with the support of the Senior Human Resources Officer
  • Manage application email inbox and respond to first level recruitment related queries
  • Advertise roles on appropriate websites and across social media platforms
  • Coordinate interview times, dates and location in agreement with the hiring manager
  • Prepare interview documentation
  • Issue regrets and feedback to unsuccessful candidates/applicants
  • Requesting and verifying reference requests
  • Process Garda Vetting applications
  • Ensure that new start employees complete the relevant forms and return necessary paperwork as part of the on-boarding process
  • Issue contracts as instructed by the Senior HR Officer

Training Administration

  • Ensure all HR and training files are kept up to date
  • Generate monthly training needs reports and issue to relevant managers
  • Input, maintain and validate personnel records and training records on the HR TMS system to ensure 100% accuracy
  • Monitor training completion to ensure compliance with the Training Plan of the organisation
  • Assist the Senior HR Officer in completing an annual training needs analysis across the Association
  • Ensure training courses are scheduled as required

 

HR Information System

  • Set up new hires on the TMS system and e-learning system
  • Ensure employee profiles are maintained and kept up to date.
  • Generate information reports are required

 

Administrative Duties

  • Assist in processing of staff administrative requests such as salary certs, confirmation of employment letters etc
  • Specific HR related projects i.e. Re-vetting of existing staff
  • General HR administration and HR filing
  • Assist with minute taking as required
  • Undertake other delegated duties appropriate to the scope and function of the post including cover duties during periods of leave
